Terms and Conditions

The Following Terms and Conditions will apply:

1.
Reservations for our safaris can now be made via our secure online shop and safari booking system. Customers and Travel Agents can register on our system without obligation of having to place an order or book a safari. The advantage of registering on the system is that you gain access to your personal secure home page where you can view details of orders placed or safaris booked. Here you can also view or download any invoices for orders placed or safaris booked. You will also have access to our support system where you can send us messages, requests or report any problems you may encounter. You will also be able to edit your personal details and change your password. You can also quickly view shopping carts that you have saved while being logged into the system. This is useful for making Provisional Bookings.

2. Any other Communications can be made via normal e-mail or fax.

3. Availability, as shown on our website by means of our availability calendars, display availability with our company. The procedure  for confirming dates will be as follows: We are notified immediately when a safari is booked via our online system. We immediately check availability in the Game Reserves or any other institution and make provisional reservations which are valid for 7 days. We then proceed with processing your payment if made by credit card or wait to receive payment by means of bank transfer. Once this has been done you will be notified that payment has been received. We then make payment to secure any booking that is required for your safari. This notification then confirms that your safari is booked and that the dates are confirmed. If dates are not available, for any reason, we will immediately contact you to inform you of this. If you have paid for the booking by means of credit card we will then not process your payment as this is done manaully. If you have selected to pay by bank transfer we will advise you not to process the payment with your bank. We will then propose alternate dates. If new dates are chosen and accepted by you we will then cancel the original order and request that you submit a new booking with the amended dates. Once all bookings are secured and paid for we then send you a safari voucher which indicates your itinerary as it has been booked. If alternate dates are not agreed upon the booking will be cancelled and you will be informed of this. By making bookings well in advance this usually reduces the risk of the possibility of Game Reserves being fully booked. To further reduce the risk of Game Reserves being fully booked we are also members of the Botswana Guides Association (BOGA). They have campsites in the Reserves which we are eligible to use.

4. Itineraries, as shown from our site, are sample itineraries. We reserve the right to change these under the following conditions: A) If prevailing conditions restrict access to certain areas. B) If bookings for certain camp sites, that are controlled by the National Parks and Wildlife of Botswana and by BOGA (Botswana Guides Association), are fully booked or not accessible for other reasons. C) At your request where after consultation, availability and accessibility have been established and confirmed. Tailor made itineraries will take all these factors into consideration.

5.Making Reservations will be done by the following procedure: On the safari form you will have to first ensure availability via our online calendars for the safari you wish to do. When suitable dates have been chosen you can either select this date in the drop down list provided for our fixed date departures or enter the date into the date field for all other safaris. This date must be entered using the following format (YYYY/MM/DD) so that it is correctly entered into our database. You then have to select your safari option from a drop down list. These choices are: basic camping safari (CO), camping and lodge (CL) and camping and hotel (CH) options. You then have to select booking also from a drop down list. If the safari being booked is done more than 30 days ahead of safari start date then you will enter the deposit option. This must correspond to the safari option you have chosen in the previous field. Once the deposit has been paid and the safari booked we will require full payment 30 days prior to the start of the safari. You will then have to return to our shop and place an order where you will use the balance option to make the payment of the balance of your safari. If a booking is made less than 30 days prior to start of the safari then we will require full payment to secure the reservation. You will then have to use the full payment option to make the reservation. All these fields are required to be filled in or selected before this can be added to your shopping cart. The last field is the private safari field, this is not required to enter your details to your shopping cart. This is, however, made available should you wish to book a private safari where you are the only people on the safari. If you wish to book this option then you must list the option which relates to the total number in your group who will be on the private safari. Before choosing this option you must first ensure that no one else is booked on the safari you wish to do. If you do book a safari where others are already booked then it will not be a private safari. Separate booking forms are provided for adults and children who are 16 years old or younger. This is to accommodate the difference in price. If a family of 4 persons being 2 adults and 2 children wish to, for example, book a private safari then they would have to book for 2 adults on the adult form also selecting the 4 person private safari option. This must then be repeated for the child booking. Once all the details have been entered to the shopping cart it is advisable to view the cart before checking out. You can then check that all entries are correct. If a mistake has occurred you can clear the cart and repeat the procedure to enter the correct details. We will also review the order to ensure that all is in order before we process the payment. Should we see an incorrect entry we will immediately let you know before the booking is processed.

6. Check Out: The check out procedure is where your shopping cart is linked to your personal details to create an order or booking. If you have not yet done so you will be required to register as a new customer where you will have to supply your personal billing details. If you are booking a safari then you need not supply delivery address. This is only necessary if you order items that need to be shipped to you. On the order page you will notice that you can make a choice of 2 payment methods from the select payment gateway. This is by credit card (Visa and Mastercard only) and by bank transfer. If you select the credit card payment option you will be required to fill in your credit card details. By submitting these details these will be safely stored in our system. No payment is processed at this time. This will be done manually once we have reviewed your order and checked availability for selected dates. This payment will be processed within 24 hours. If you have selected the bank transfer option then you will be taken to a page where you have to select "Yes" or "No" for the bank transfer. If you choose "Yes" then you will be required to either print your invoice or download your invoice which you can locate in your "User Home" page under "My Order" link. You will then need to take this to your bank and request them to transfer the funds to our bank account. Our banking details are provided at the bottom of the invoice. Any fees that are required to make this transfer will be for your account. If you have selected "No" for the bank transfer we will then take it that you wish to make payment in some other way. This is usually where we send you a form where you can fill in your credit card details and fax to us. You will also notice on the order form below your address details that there are 2 extra fields. Here you can supply us with any dietary requirements we should have to be aware of if you are booking a safari. In the second field you can list the names of the people who will be in your group. Our system will automatically notify you that your order has been received. It will also automatically let you know when payment has been received. We will contact you if there are any problems with your order or anything else.

For a travel agency who wishes to book their clients on our safaris we strongly recommend that they first register on our system before placing an order or a making a booking. We will then contact the agent and explain our policies with regard to travel agents. We will then also explain how the system will work for them.

7. Provisional Reservations: You can use our system to make provisional reservations in the following 2 ways. As a non registered user: If you wish to book a safari that you would like to do you make all the necessary selections as mentioned above and add this to your shopping cart. You can then view your cart to ensure that all the details are correct. After this you can then save your shopping cart. The system will require that you name your cart and it will then generate a unique number that is associated with the cart name. We are not notified when a cart is saved so if you wish us to provisionally book this safari so that others cannot take your place we ask that you e-mail us and give us details of your intended safari or the details as saved in your cart. We will then ensure that your reservation is provisionally held for 14 days. This will then also be added to our availability calendars as a provisional booking. You can then return at a later stage and retrieve your shopping cart. You can do this by accessing "Your Basket" via the main menu of our shop. This will show that it is empty. There is a link to "Retrieve Cart" where you can access your saved cart by entering the name you used to save the cart and the number that was supplied to you. This should bring up the cart and you can then proceed to check out.

As a registered user: Once you have registered and are logged into our system you can then select the safari you wish to provisionally book. You can then save your cart in the same way as above. You can go directly to your home page on our system. You can then click on the support link which should show that there are no records. You can then click on new request where you can immediately send us the details of the saved cart. We will immediately make the provisional booking. You can then return at a stage logon and retrieve your cart from the saved cart link on your home page. You can then proceed to check out to complete the reservation.

These methods can also be used to save a cart for any other items you may wish to order from our shop and pay for at a later stage.

8. System Indemnity: Although our system has been extensively tested we cannot be held responsible should this software fail or operate in error for any reason. it is, therefore, important that you carefully monitor every action that you make while using our system. If any discrepancy is noticed it would be appreciated that this immediately be reported to us. This can be done by e-mail or via our support system if you are a registered user. We will also carefully monitor the system to ensure it's smooth operation and will also attempt to repair any fault so as to prevent any potential loss such a fault or defect may cause.

9. Cancellation Policy: Deposits paid to us to secure safari bookings are not refundable. The reason for this is that we pay deposits to secure other bookings. These deposits are also not refundable. If a cancellation should occur after a deposit payment has been paid we would require notification of such by e-mail or fax. We will then confirm that the safari has been cancelled. After a deposit has been paid we will require that the balance be paid 30 days prior to the start of the safari. If the balance has been paid and a cancellation occurs during the preceding 30 days to the start of the safari the following refunds will be made: Between 4 and 3 weeks prior to start date 50% of the balance paid will be refunded. Between 3 and 2 weeks prior to start date 25% of the balance paid will be refunded. 2 Weeks prior to start date no refund will be made. If we were to cancel a safari for any reason you will be refunded fully with any payment that has been made.

10. Travel Insurance: We strongly recommend that you take out travel insurance to cover you should a possible cancellation occur, for any reason. For logistical reasons it is best to obtain travel insurance from your country of residence.

11. Included in Safari Price: The price of your safari will include the following: All your transport from commencement of your safari till your departure I.e. 4 X 4 vehicles, motor boats and dug out canoes. All camping equipment including mattress, sleeping bag and pillows. All game reserve and camping fees. All accommodation according to safari option chosen. All meals while on safari. The services of a professional guide, cook and camp attendant. This will apply unless otherwise stated in writing.

12. Not Included in Safari Price: Not included in your safari price: Airfares. Alcoholic drinks, canned or bottled cold drinks and bottled water. Curios. Gratuities. Towels. Personal toiletries such as toothbrush, toothpaste, soap and shampoo. Any expense that is incurred should you wish to deviate from your itinerary. Airport and departure taxes. Visa fees for entry to other countries. Any activity or service provided not mentioned in your itinerary.

13. Rules and Regulations: On safari your guide will inform you of the laws of the country as well as the rules and regulations that are applicable in the game reserves. It is recommended that these are adhered to as well as safety considerations and practices that are suggested. We reserve the right to remove anyone from a safari who violates these laws, rules and regulations or who unwittingly or deliberately puts themselves or anyone else in danger due to their actions.

14. Safari I
ndemnity: Although every effort is made to provide you with the best possible service, ensure your safety and comfort it must be understood that there are inherent dangers in such safaris as well as situations that may arise which may result in any eventualities that are in or beyond our control. Bush Camp Safaris (Pty) Ltd., it's directors, employees, agents or representatives will not be held liable or responsible for any situation, eventuality or action taken knowingly or unknowingly that may result in loss of life, injury, disability, illness, loss of property, delays, breakage's, accidents, alteration of itineraries or anything else whatsoever. By making a booking you will declare that you have read, understand and accept these Terms and Conditions and that you indemnify Bush Camp Safaris (Pty) Ltd., it's directors, employees, agents or representatives of any liability or responsibility.

15. Other Orders: To order any books, videos or dvd's you will be directed to go to the website of Amazon.com. The appropriate link will be provided for each item. The ordering process and delivery of any of these products will be handled by Amazon.com. If any safari clothing is ordered from our shop, you will be able to choose from the following options: No delivery charges. With this option you can purchase an item which you may wish to have while on safari. We will then keep this item and hand it to you on your arrival. With delivery charges. We will provide a number of delivery options available in Botswana to deliver your item or items to you. It must be understood that delivery times may sometimes take a little longer than expected delivery time. We will in such cases follow up and track any items where delivery has been delayed. Any delay can be reported from our support system and we will report on possible reasons for the delay. It must be understood that you must supply us with your delivery address even if it the same as your billing address. This can be done during the ordering process below the area where you supply your billing address. It is also recommended that you use the credit card payment method for payment of any orders that require delivery. We can only commence delivery once your payment has been processed. If you choose the bank transfer option we will have to wait till payment has been received. This may take up to 7 days before delivery can commence. We also recommend that you view your shopping cart before proceeding to check out to ensure that all details are correct. It must also be understood that any item or items correctly shipped as per order will not be replaced. We will, however, be prepared to replace any item or items that have been incorrectly shipped. We will require proof of incorrect delivery and the return of the item. The replacement item or items will be shipped as soon as we have received confirmation that incorrect item or items have been sent to us in return.
